This week, we're looking at job statuses.

Statuses in Printavo drive your workflow. 🏎

The amount of statuses a shop needs really depends on how that shop is running their workflow. We've seen shops with over 100 statuses(!), and we've seen shops with just a few.

Regardless of how many you have, our Customer Success Team has come up with 3 Printavo statuses every sales team needs:

  • Approval Reminder
  • Archived Quote
  • Re-order Request

Approval Reminder

Have a bunch of jobs stuck in an "Out for Approval" status for quotes, artwork, or online stores?

If so - you're not alone! This happens to a lot of shops because your customers, like you, are busy busy busy. 🐝

So how can a status help?

  1. Create a status called X Approval Reminder (where "X" is the approval type you're waiting for).
  2. Set that status as a trigger for an automation that emails and/or texts* your customer with a reminder prompt for the approval.
  3. Implement a daily task for your sales team to change any "Out for Approval" jobs that are a day or more old into your new X Approval Reminder status.

Your customer may or may not respond but, at the very least, you're putting in the effort to get that approval done. Plus, you can now easily see the jobs and customers that are causing any bottlenecks in your sales process!

Archived Quote

As we just discussed, you may not win every quote. Sometimes your customers go elsewhere with their business, and sometimes they just ghost you! 👻

So, what do you do with those jobs?

Create a status called Archived Quote. Why?

Your customer may still want you to do the job! Yes, perhaps they temporarily went elsewhere or just straight up stopped responding, but, as we all know, some of them will "boomerang" and come back to you. 🪃

Keeping the quote in your system will save you time on re-quoting the customer. You might even impress them with how prepared and knowledgeable with details that they'd forgotten - all because you have that important information right in front of you! 🤯

Pro tip: To keep your calendar de-cluttered of any archived quotes, simply use the Filter button on your calendar and de-select your Archived Quote status. The jobs will disappear from view, but not from the system.

Re-Order Request

Want an easy way to start up a conversation with a previously successful customer? Do you maybe know ahead of time that certain customers will be wanting a 2022 version of a 2021 order?

Create a status called Reorder Request and, similar to the Approval Reminder, set that status as a trigger for an automation that emails and/or texts* your customer - but instead of prompting for an approval, you can ask if they need that old order agin! ♻️

Like we said before, your customers are busy, so proactively putting yourself at the top of their minds can start some great conversations!
